What Is “Skiing”? An Astec RT 360 Maintenance Checklist from Someone Who’s Paid the Price
If you've ever watched a $900,000 trencher sit dead on a Monday morning because someone “forgot” the final drive oil, you know the feeling. That someone has been me. More than once.
I've been handling maintenance and repair orders for 11 years. I've personally made—and documented—23 significant mistakes, totaling roughly $38,000 in wasted budget. Now I maintain our team's pre-start checklist. Over the past 18 months, that checklist has caught 47 potential failures before they became emergency repairs.
What is skiing? In our shop, “skiing” is what we call it when you skip a maintenance step to save an hour. You ski right past the service interval and hope the machine doesn't feel it. The machine always feels it.
This checklist is built for the Astec RT 360 trencher, which has been our main machine for years. But most of it applies to any Astec equipment: crushers, screens, asphalt plants, even roof coating systems. The nameplate changes; the laws of neglect don't.
Who Should Use This Checklist
Anyone who touches the machine. Operators need it because they hear and feel things before managers do. Equipment managers need it because they own the calendar. Procurement people need it because the cheapest part is rarely the cheapest part.

The 5-Point Anti-Skiing Checklist
1. Respect the Astec Calendar—But Don't Trust It Blindly
The Astec calendar is the baseline. The maintenance schedule in your operator's manual is there because Astec has tested the components and knows when they need attention. But a fixed date doesn't know about two idle months, a dusty job site, or a winter that never ends.
In 2019, we followed the calendar to the letter. The RT 360 sat idle for two months. When we fired it up, the hydraulic oil looked like chocolate milk. The calendar said “change every 500 hours,” and we obeyed it. What it didn't say was “check for condensation after a long shutdown.” That $1,400 service and three days of downtime came straight out of the project profit.
So the Astec calendar gets marked, but it's not the whole plan. We also track idle hours separately. We check the fuel cap gasket, because a cracked one lets water into the fuel system, and water in a diesel tank is a slow, expensive nightmare. And we look at the hydraulic reservoir sight glass before starting the engine, not after the alarm goes off.
The lesson: use the calendar as your starting point, not your excuse.
2. Walk the Track Before You Walk Away (RT 360 Specific)
The Astec RT 360 trencher is a big machine, and it lives or dies by its undercarriage. A loose track beats itself to death. An over-tight track cooks the final drive. Both repairs are in the four-figure range, and both are avoidable.
Eddie Jacket, our senior mechanic, earned that nickname because he wears the same high-vis jacket all year, even in July. He has a rule: “If the track looks low, it's not low. It's done.”
Last spring, Eddie caught a cracked track link on a simple walk-around. The track looked fine from ten feet. He put his hand on the link as it rotated, felt the click, and shut the machine down. Replacing the track on a Saturday would have cost $9,000 plus two days of downtime. We ordered the part Monday, lost one day, and paid $3,200. Dodged a bullet—but only because Eddie does the walk he says he does.
What Eddie checks: cracked or bent links, uneven tension from side to side, leaking final drive seals, and rollers that wobble when you push on them. Five minutes with your hands and eyes. That's the whole step.
3. Listen for the Hydraulic Scream (and Trust It)
Hydraulic systems rarely fail without warning. They whine, they moan, they make a high-pitched scream when the fluid is low or the suction strainer is clogged. But most operators ignore it because the machine still moves.
Here's the thing: by the time the alarm goes off, the damage is halfway done. We lost a hydraulic pump on the RT 360 back in 2017 because we were “too busy” to stop and check the sight glass. The job paid $1,800. The pump cost $6,000. I still remember the math.
Eddie Jacket's approach is simple: when you first start the machine, keep the engine at idle and listen to the pump tone as you move the joysticks. If the pitch changes unexpectedly, you have a flow problem. Then look at the sight glass while the fluid is warm. Then change the hydraulic filters according to the Astec schedule, not the project schedule. That last part is the one that most people skip.
4. Put Every Replacement Part Through the Van Orden Test
Van Orden runs our parts and procurement. He won't buy anything without a spec sheet. His rule: “If you don't know your cost of downtime per hour, you can't buy parts. The cheapest part is only cheap if it runs.”
I learned that the hard way in 2022. A no-name filter was $28. The Astec-specified filter was $68. We saved $40 and felt pretty good about it until the injector pump failed 70 hours later. That was a $1,180 repair, plus a tow truck, plus a missed deadline. The $40 savings turned into a $1,500 problem, and that was one of the cheaper outcomes.
There's an official reason for the test, too. Per FTC advertising guidance (ftc.gov, as of January 2025), claims like “same as OEM” must be truthful, not misleading, and substantiated with evidence. So when a supplier says “OEM quality,” ask to see the spec. If they can't produce it, don't buy it.
Van Orden's test has four questions:
- Does the part number match the service manual?
- Does the spec sheet match the OEM part's specs, not just the bolt pattern?
- Is there a written warranty, and what does it cover?
- What's the total cost if it fails early—part, labor, and downtime?
If a quote looks too good, that's not a bargain. That's a future case study.
5. End Every Shift with a Two-Minute Walk—Not a Ski
What is skiing? It's also what we call the walk-around you skip because it's raining, you're tired, or the machine “ran fine yesterday.” You ski right past the machine and hope for the best.
In September 2022, I skipped the final walk because it was pouring. The next morning, the RT 360's radiator was leaking from a rock strike. If I'd spent two minutes looking, I would have seen the bent fins and the cracked tank, and we could have repaired it before the crew showed up. Instead, we paid $450 for an after-hours repair and lost half a day of production. That's the cost of skiing.
The two-minute walk is not a full inspection. You walk the perimeter looking for drips and bent metal. You look under the engine and hydraulic pumps. You open the engine cover for 30 seconds and glance for leaks. You check the track and final drives. On a bad day, your five-minute walk saves you a week of downtime.
Common Mistakes That Still Catch People
Even with a checklist, people find ways to skip things. Here are the ones I see most often:
- Relying on the hour meter and ignoring the Astec calendar—that's how idle machines get missed.
- Walking the machine in one direction only. Walk the full loop, both sides.
- Ignoring small leaks because “it's just a little damp.” A damp seal is a failing seal.
- Buying parts based on price and a familiar shape. The letter of the part number matters.
- Trusting verbal promises on shipping dates. I knew I should get written confirmation, but we'd used that vendor for years. The verbal agreement got forgotten, and the machine sat for three days.
- Skipping the final walk because you want to get home. That one hits everyone eventually.
Bottom line: keep the Astec calendar, walk the track, listen to the hydraulics, and treat cheap parts with suspicion. The Astec RT 360 is a solid machine. It deserves better than “we'll check it tomorrow.” And so does your budget.
